Preparatory visit

Building the Realm Before We Enter It

Before the Youth Exchange begins, we organise a Preparatory Visit (PV). This is not a separate project, but an essential step to make sure the mobility is meaningful, safe, and truly co-created by the participants. 

Instead of receiving a ready-made scenario, representatives from each country actively build the context of the role-play. This ensures that the story, themes, and learning focus reflect the interests and needs of the whole group.

 

The Preparatory Visit we will:

• Co-create the future LARP setting and overall storyline
• Define the historical populations each national group will represent
• Choose sub-topics connected to civic engagement, sustainability, and inclusion
• Prepare logistical details

Historical research and scenario building

Each national group presents an element of their country’s medieval history and identifies one historical population that will be represented during the Youth Exchange.

 

This requires historical research and reflection.

Together, participants will:

• Define the general political and social context of the LARP
• Agree on the main themes and sub-topics
• Shape the narrative structure of the role-play

Who participates in the Preparatory Visit

Each country sends two representatives: 1 group leader + 1 national group participant

Participants selected for the PV should:

• Attend the main activity Bergolo Medievale Youth Exchange 

• Be between 18 and 35 years old (group leader) / between 18 and 25 years (participant) 

• Be motivated to take responsibility
• Have good English communication skills
• Have previous experience in youth work and / or European projects

• Have specific skills related to group dynamics

After the PV, these representatives prepare their national groups for the Youth Exchange, share the outcomes of the visit, and support their teams throughout the process.

Arrival day

Participants arrive at the venue and settle in the hostel. Introduction to basic house rules and safety procedures

The Gathering of the Council

Gathering of the council and introduction to non-formal learning principles.

The Forging of the Realm

Forging the LARP scenario, defining historical identities, selecting sub-topics.

The Training of Stewards

Training in leadership, facilitation, Youthpass, and practical coordination.

Departure day

Participants depart from the venue in the morning.

What You Must Know

To attend the Preparatory Visit, you must apply and be selected for the Youth Exchange, as the PV is an integral and obligatory part of the programme.
